Web Based Supply Chain Management System (WBSCM) Email Notifications on Contract Closeout

Please be advised that the Commodity Procurement Staff (CPS) is currently working to close contracts where all of the purchase order (PO) line items have been delivered and paid.  There is no action required on your part, as the vendor, in this process.  However, to complete the process, CPS must “modify” the status of the PO, which triggers an automatic email notification sent from WBSCM to vendors.  Since this “modify” email looks very similar to a real contract modification email, you may review the PO information by logging into WBSCM and reviewing the “Vendor Text” and/or “Modification Text” sections on the PO to determine what has changed.  If the modification was due to closing out the PO, the following statement will be present, “AMS has reviewed and closed this Purchase Order.”  In this case, you may keep the email as confirmation that the contract has been closed out or you may disregard the message.  However, if the modification email states something different, the message represents a contract modification you may want/need to consider for action.

If you believe a PO has been closed erroneously, because you have not completed all deliveries on your contract, or for any other reason, please contact our office immediately.
